Multi-Branch Advanced Pricing & Units of Measure (UoM)

 

Welcome to Tracepos! If you run a business with multiple branches, franchises, or regional warehouses, you know that pricing isn't always the same everywhere. A carton of drinks might cost ₦30,000 in Lagos, but ₦32,000 in Abuja due to logistics.

Our Multi-Branch UoM Pricing Engine allows you to completely isolate and manage your retail and wholesale prices per branch, down to the specific Unit of Measure (Pieces, Cartons, Bags, etc.).

Here is your complete guide to mastering multi-branch pricing.


1. Setting Specific Prices for Different Branches

You can easily set a unique price for a specific branch without affecting the rest of your business.

How to do it:

1.     Log in to your Tracepos dashboard.

2.     Ensure your active branch (top-right dropdown) is set to the branch you want to edit (e.g., "Abuja Branch").

3.     Navigate to Inventory Management > Inventory > Products and click Edit on your desired product.

4.     Scroll down to the Unit Conversions section.

5.     Change the Alternative Price of the Carton, Bag, or Crate.

6.     Click Save.

Note: Because you were logged into the Abuja Branch, Tracepos securely saves this new Carton price strictly for Abuja. The Lagos branch will continue using its original price.


2. Bulk Price Adjustments (With Smart Scaling)

When inflation hits or supplier costs change, you need to update prices fast. The Tracepos Bulk Adjustment tool doesn't just update the base item it automatically does the math for your larger units!

How it works:

1.     Navigate to Inventory Management > Price Adjustment.

2.     Ensure your active branch (top-right dropdown) is set to the branch you want to edit (e.g., "Abuja Branch").

3.     Click the “Add New Adjustment” button

4.     Apply the adjustment rules (e.g., increase price by Fixed Increase of ₦50) Adjust Prices By = “Fixed Increase”,  Adjustment value = “₦50” Notes = “Price increase due to inflation”

5.     Select your products that you want this adjustment to impact

6.     Hit Save.

The Smart Scaling Magic:

If you increase the base price of a single bottle of Coke by ₦50, Tracepos knows that a Carton contains 24 bottles. The system will automatically increase the Base Price by ₦50, and independently update the Carton price by ₦1,200 (50 x 24) for that specific branch.


3. Bulk Importing Prices via CSV

For massive operations, you can update thousands of branch-specific prices at once using our CSV Import tool.

Rules for CSV Importing:

·       Brand New Products: If you upload a CSV with a completely new product, Tracepos will distribute the base prices and UoM prices (Cartons/Bags) to all your branches globally as a standard baseline.

·       Updating Existing Products: If you want to update the Carton price for just one branch, simply re-upload the product in the CSV and ensure the warehouse column is filled with that branch's exact name (e.g., Lagos Branch). Tracepos will safely update the Carton price only for Lagos.

4. Stock Transfers: Cost Price vs. Retail Price

If you operate a franchise model where your Main Warehouse "sells" inventory to sub-branches, you need accurate transfer valuation.

When creating a Stock Transfer, you will see a new toggle: Transfer Valuation.

·       [ At Cost Price ]: Best for standard retail branches. The system values the transfer at your original Purchase Price (COGS) so you don't falsely record a profit before the item is actually sold to a customer.

·       [ At Retail Price ]: Best for Franchises. The system grabs the destination branch's Retail Sales Price and applies it to the transfer cart, treating it as an internal B2B sale.

Safety Feature: If you change your destination branch or valuation toggle while items are in your cart, Tracepos will automatically clear the cart to prevent the wrong regional prices from accidentally leaking into your ledger.


5. Selling at the Point of Sale (POS)

Do my cashiers need to do anything different?

Absolutely not!

Tracepos POS is "Warehouse Aware." When a cashier logs into their terminal at the Benin City branch, the POS securely downloads only the prices and Units of Measure configured for Benin City. If they scan a Carton of noodles, it will ring up the exact Benin City price automatically.
